Privacy Policy
Who we are
AIFIN Advisors, LLC ("AIFIN", "we", "us") operates aifinadvisors.com. This policy explains what information the site collects, why we collect it, who can see it, and what you can ask us to do with it. It applies to visitors to the site and to anyone who submits a form on it.
Questions about this policy go to hello@aifinadvisors.com.
What this policy covers
This policy covers the website and the two forms on it. It does not govern material a client shares with us during an engagement. That is covered by the written agreement for the engagement, which takes precedence over anything here.
Information we collect
Most of the site can be read without giving us anything. The pages that collect information are listed below, with exactly what each one stores.
The readiness assessment
When you complete the assessment we store:
- your email address, and your company and role if you provide them
- your answers to each question
- the resulting score, readiness band and priority areas
- the time of submission
- a salted, one-way hash of your network address
We use this to generate and show you your result, to send you your result and occasional notes on AI enablement if you ticked the box asking for them, to follow up with you about your result, and to detect one source flooding the form. The hash cannot be reversed to recover your address, and the salt is held as a secret separate from the database.
Your result is reachable through a link containing a unique, unguessable token. Anyone who has the link can see your company, role and result, so treat it as private.
The contact form
When you send a message through the contact form we store:
- your name and email address, and your company if you provide it
- your message
- whether you ticked the box permitting us to contact you
- the browser identification string your browser sends
- the time of submission
- a salted, one-way hash of your network address
We use this to reply to you, and to limit the number of messages one source can send in a short period.
Email you send us
If you email us directly, we hold the message and any attachments in our Google Workspace mailbox and use it to reply to you.
Technical information
Cloudflare, which hosts the site, processes the network address, browser identification and request details of every visit in order to serve pages and protect the site from attack. We can see this information in short-lived request logs. We do not use it to build a profile of you.
Cookies
The site sets one cookie, and only after you make a choice in the consent banner. It records your choice, the time you made it and the version of the banner you saw, and it lasts twelve months. Nothing is written to your browser before you choose.
The banner offers two optional categories, analytics and preferences. Both are off unless you turn them on.
If you turn analytics on, the site loads a visitor tracking script from Apollo.io, Inc. It records the pages you read and the site that referred you, sets its own cookies, and matches your network address and browser against Apollo's database of companies and business contacts to tell us which organisations, and in some cases which people, are reading the site. Nothing from Apollo loads while analytics is off, and nothing from it loads before you have chosen.
If the categories or this disclosure change materially, the banner version changes, your earlier choice is discarded, and you are asked again.
If your browser sends the Global Privacy Control signal, we record a rejection of all optional cookies and never show you the banner.
You can change your choice at any time through the "Cookie settings" control in the footer.
How we use information
We use the information above to:
- show you your assessment result and send it to you if you asked
- reply to enquiries and follow up on assessments
- send occasional notes on AI enablement, only where you asked for them, with a working unsubscribe in every message
- keep the forms usable by detecting and limiting abuse
- understand which organisations read the site, where you have turned analytics on
- meet legal obligations
We do not sell or rent personal information, share it with anyone for their own marketing, serve advertising, or make automated decisions about you beyond calculating the score you asked for.
Legal bases
For readers in the United Kingdom or European Economic Area, our legal bases are consent, where you ask us to send you material; steps taken at your request before entering a contract, where you enquire about working with us; and our legitimate interest in running and protecting the site, in replying to people who write to us, and in following up on a completed assessment.
Who receives your information
The following organisations process personal information on our behalf. Each is bound by its own terms and by our instructions, and none may use your information for its own purposes.
- Cloudflare, Inc. hosts the site and stores form submissions and media. Its database for this site is provisioned in eastern North America.
- Google LLC, through Google Workspace, provides our email. When a form is submitted, the site sends a notification to our own mailbox containing the details you entered, using the Gmail API from that mailbox.
- Apollo.io, Inc. provides the visitor tracking described under Cookies. It receives your network address, browser details, cookies and the pages you visit only if you turn analytics on, and it matches them against its own database under its own privacy policy as well as our instructions.
- HubSpot, Inc. may hold assessment leads as contact records when a customer relationship system is connected. The record contains your email address, company, role, score, band and priority areas, and the time you completed the assessment.
We may also disclose information where the law requires it, to protect the rights or safety of anyone, or as part of a sale or reorganisation of the business, in which case this policy continues to apply to it.
Google services
The site uses Google's Gmail API for one purpose: to send a notification from our own Google Workspace mailbox to ourselves when a form is submitted. It does not request access to any Google account belonging to a visitor, and it does not read, store or share any visitor's Google user data. Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.
Where information is stored
The site and its database run in the United States. If you are outside the United States, the information you submit is transferred there and is subject to United States law.
How long we keep it
We keep assessment submissions and contact enquiries for as long as we need them to respond to you and to follow up, and we delete them on request. Notification emails are held in our mailbox under the same terms. Request logs are retained by Cloudflare for a short period and are then discarded.
Your rights
You can ask us to show you the personal information we hold about you, to correct it, to delete it, or to stop sending you material. You can withdraw consent at any time, and every email we send that you asked for includes an unsubscribe link. Depending on where you live you may also have the right to object to or restrict certain processing, to receive a copy of your information in a portable form, and to complain to a supervisory authority.
To exercise any of these, email hello@aifinadvisors.com. We reply within thirty days. We will not treat you differently for exercising a right.
We do not sell personal information and we honour the Global Privacy Control signal as an opt-out.
Security
The site is served over encrypted connections. Network addresses are stored only as a salted hash. Access to submissions is limited to the principals of the firm and is authenticated. No system is perfectly secure, and these measures are designed to reduce risk rather than eliminate it.
Children
The site is intended for business use and is not directed at anyone under eighteen. We do not knowingly collect information from children. If you believe a child has submitted a form, email us and we will delete it.
Changes to this policy
The version number and effective date at the top of this page identify the policy in force. When we change it materially we will update both, and if the change affects cookies we will ask for your consent again.
